Text Blaze: stop retyping the same emails

The text shortcut extension that inserts your template replies, quotes and follow-ups when you type a simple /shortcut

What is Text Blaze?

Text Blaze is a text shortcut tool, what is called a text expander. You save a text you type often (your follow-up email, your reply to a quote request, your signature, your bank details), give it a shortcut like /followup, and the full text is inserted as soon as you type that shortcut, wherever you are: Gmail, LinkedIn, Google Docs, Notion, a web form. It comes as a Chrome extension and as macOS and Windows apps.

Who is Text Blaze for?

Freelancers who write the same things ten times a week: replies to prospects, invoice follow-ups, welcome messages, meeting notes, support replies. A community manager, a virtual assistant, a consultant prospecting on LinkedIn or a developer answering tickets saves hours. If you would rather dictate than type, a voice dictation tool like Wispr Flow answers a different need, and the two go well together.

What you can do with Text Blaze

  • Insert text with a shortcut: /thanks, /quote, /bank, in any text field, with formatting preserved.
  • Make your snippets dynamic: today's date, fields to fill in at insertion time, dropdown menus, if/then rules to adapt the message to each case.
  • Calculate on the fly: formulas inside your snippets, for example to go from a net amount to a total including VAT or to compute a due date.
  • Fill in forms automatically: autopilot moves through a page's fields for you.
  • Reuse information from the page: on Chrome, a snippet can pick up the name of the person you are replying to, straight from the open page.
  • Share folders: your snippets are organized in folders you can share with a collaborator or subcontractor, with roles.
  • Store data: Data Blaze, tables your snippets read and update.

Why we recommend Text Blaze

At FreelanceKit, we picked Text Blaze because it is one of the rare productivity tools that pays off from day one without changing the way you work. You create five snippets for your most frequent messages, and you stop digging through your sent folder to copy and paste. The free plan is enough to get started, and the Pro plan costs less than a coffee a month for the variables, forms and rules that turn a template text into a real model.

The weak point to know: everything is in English, interface and documentation alike, and the logic of the commands (formulas, if/then rules) takes a bit of learning to go beyond simple copy and paste. The free plan limits the number of snippets and sharing, so as soon as you want full forms or images, you move to Pro. And if you work mostly in desktop software, the Mac or Windows app does not read page content the way the Chrome extension does.

Text Blaze or another solution?

If you are hesitating between voice dictation (Wispr Flow, Superwhisper) and an AI assistant like ChatGPT to write faster, see our page on alternatives to Text Blaze.
